I have been called in more than once to fix or finish a job that started as a weekend rental project, and almost every one of those calls traces back to the same handful of mistakes that have nothing to do with the operator's effort and everything to do with what nobody told them before they signed the rental agreement.
Sizing the machine to the actual job
Mini excavators are usually classified by operating weight, and the range that matters for most residential work runs from around 1.5 to 8 metric tons. A 1.5 to 3 ton machine fits through most standard gates and works well in tight backyards, but it has limited dig depth and bucket breakout force. An 8 ton machine digs faster and deeper but will not fit through most residential gates without removing a fence panel, and it can be genuinely dangerous to operate near a foundation on soft or unstable ground because of its weight.
The mistake I see constantly is renting based on what fits through the gate without checking whether that size can actually achieve the dig depth the job requires. A trench for a drain line four feet deep needs a machine with real reach and depth capability, and a 1.5 ton mini excavator often cannot get there, leaving the renter finishing the last foot and a half by hand, which defeats a fair amount of the point of renting equipment in the first place.
What the rental counter will not tell you about ground conditions
Rental staff are generally not going to walk your property and assess soil conditions before renting you a machine, and this is where a lot of weekend projects go sideways. Wet or soft ground can cause a mini excavator to sink, tip, or simply get stuck, and once a several thousand pound machine is stuck in mud, getting it out is a far bigger problem than the original job was.
Before renting, walk the actual work area after checking the weather for the past week, not just the day of pickup. Ground that seems firm on the surface can be saturated a few inches down after recent rain, especially in clay soils that drain poorly. If there is any doubt, place plywood or track mats under the machine's path across the softest sections, which costs very little compared to a recovery tow.
Pushing back on "bigger machine gets it done faster"
The instinct when renting is often to size up, on the theory that a bigger machine finishes the job faster and the rental is charged by the day regardless. I want to push back on this for residential work specifically. A larger machine is harder to maneuver precisely in a tight yard, more likely to damage things you did not intend to touch, like a septic line, an irrigation system, or a neighbor's fence, and meaningfully more dangerous for someone without regular operating experience.
For most residential grading, drainage, or small regrading tasks, a properly sized smaller machine that you can control precisely will actually finish the job with less rework than a larger one operated cautiously and imprecisely by someone still learning its controls. Speed on paper does not account for the hour spent carefully backing away from a gas line because the bucket swing radius on a larger machine was bigger than expected.
Before you dig, always
Call for utility locates before any excavation, which is free in most areas and typically takes a few business days to schedule, so plan the rental around that timeline rather than around it. Hitting a buried utility line is not a hypothetical risk, it happens to DIY renters regularly enough that it is the single most preventable disaster in this entire list, and it is entirely avoidable with a phone call made early enough to matter.

Knowing when to stop renting and start calling contractors
If the job involves grading near a foundation, cutting into a slope steeper than a gentle grade, or moving more than a day's worth of material, the math on renting starts to favor hiring out. Recovery costs from a stuck or tipped machine, or the cost of correcting an improperly compacted fill, routinely exceed what the professional job would have cost in the first place.
